Privacy Policy

This policy explains how The Borg Team, operating out of Royal LePage Meadowtowne Realty, Brokerage (“we,” “us”), collects, uses, discloses, and protects personal information in the course of providing real estate services in Ontario. We comply with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and Canada's Anti-Spam Legislation (CASL).

What we collect

We collect personal information directly from you through:

  • This website: name, email, phone, stated interest (buy/sell/tenant/other), budget range, preferred neighbourhoods, property address (sellers), timeline, and the source through which you found us.
  • Email, phone, text, and in-person conversations: anything you share when discussing your real estate needs.
  • Open-house sign-ins and listing inquiries: contact information and the property you were viewing or asking about.
  • Transaction paperwork: information required by the Real Estate Council of Ontario (RECO), the brokerage, and applicable provincial forms (e.g., OREA forms).

Why we collect it

  • To respond to your inquiry and provide the real estate services you've asked about.
  • To send market updates and information relevant to your stated interest, where you've consented to receive them.
  • To meet legal and regulatory obligations (RECO, TRESA, FINTRAC as applicable, brokerage record-keeping).
  • To improve how we serve future clients by understanding what's working.

Who we share it with

We share your personal information only as needed to deliver the services above:

  • Royal LePage Meadowtowne Realty, Brokerage — as required by RECO for brokerage record-keeping on any active transaction.
  • Follow Up Boss (our CRM, based in the United States) — contact and inquiry information, for relationship management.
  • Microsoft 365 — email hosting.
  • Resend — transactional email delivery for automated system notifications.
  • Cloudflare — website hosting and form processing. Cloudflare Turnstile may process abuse-prevention signals (e.g., IP address, browser signals) on form submission.
  • Professionals you ask us to refer or coordinate with (mortgage brokers, lawyers, home inspectors, etc.) — only the information needed for that referral or coordination.

We do not sell your information to third parties for any purpose.

Consent and withdrawing it

When you fill out a form on this website you'll see a specific consent checkbox for receiving marketing email and text messages. That consent is separate from the service consent we need to respond to your inquiry. You can withdraw marketing consent at any time by:

Accessing or correcting your information

You have the right under PIPEDA to ask what personal information we hold about you, correct anything inaccurate, and request deletion in most circumstances. Email justin@theborgteam.com and we'll respond within 30 days.

Note: we're required by RECO to retain transaction records for a prescribed period after closing (currently six years). Requests for deletion of those records can't be honoured during that retention window.

Cookies and website analytics

This site uses Cloudflare Web Analytics, which is a privacy-preserving analytics product that does not use cookies and does not track you across sites. We do not run Google Analytics, the Meta Pixel, or any other third-party behavioural tracking.

If we embed a map (e.g., Google Maps on the Contact page) that embed may place cookies from the map provider when you interact with it.

Security

We take reasonable technical and organisational measures to protect personal information against loss, theft, and unauthorised access. Our email is hosted on Microsoft 365 with modern authentication. Our CRM requires individual logins with two-factor authentication.

Changes to this policy

If we change anything material in this policy we'll update the “last updated” date above and, where appropriate, notify clients and contacts by email.
